Primary Functions & Responsibilities:
- Travel and Logistics
- Provide support for international and domestic travel needs across all staff members.
- Handle all staff-related visa processes and work permit applications while following host country requirements.
- Office support staff, drivers, and cleaners need ongoing guidance to meet operational standards.
- Operate with operations specialists to verify vehicle routing schedules and implement speed restriction systems.
Office Management
- Monitoring the use of office supplies along with tracking facility maintenance and utility expenses such as diesel consumption and generator maintenance occurs for health and safety compliance checks.
- Preparation of reports concerning the Kano office facilities.
- Purchasing fuel invoices from Kano locations gets sent to the finance department.
- Daily purchases and oversight of office petty cash operations belong to this role.
- Submit petty cash vouchers along with payments for all petty cash expenses.
- Regular submission of petty cash fund reconciliation reports with supporting documents is required.
- Submit draft letters for reports alongside operational processes and administrative procedures.
- The employee maintains proper document organization while showing initiative to enhance administrative procedures within the office setting.
Basic Qualifications:
- Each applicant must fulfill the specified requirements to qualify. Typically includes:
- The candidate must hold either a bachelor’s degree or tertiary courses in business administration, public administration, sociology, office management, or other relevant social science-related fields.
- Experience in procurement along with certification adds value to the candidate.
- The position requires two years of administrative experience in office management positions with procurement responsibilities at international non-governmental organizations.
- Experience with donor-funded projects.
- An employee who demonstrates their capacity to handle numerous responsibilities alongside multiple urgent deadlines.
- The ability to coordinate junior-level staff members for delivering service-oriented tasks while fostering effective working relationships between colleagues.
